BKE Client Onboarding Process

(From signed agreement to first month of bookkeeping work)

🎯 1. Objectives of Onboarding

  • Establish all systems, processes, and workflows needed to deliver recurring bookkeeping services.
  • Collect and test all logins, document access, and integrations.
  • Gather documents required for catch-up/clean-up work (if applicable).
  • Build client profile and workflow in Insight (BKE’s internal platform).
  • Ensure client understands their role in providing timely data (logins, documents, monthly submissions).
  • Walk the client through the Insight portal so they know how to provide documents and communicate with BKE.
⚠️ Important: Bookkeeping cannot begin until all required data, documents, and logins have been provided and validated by the client.

👤 2. Client Responsibilities

What BKE needs from the client before bookkeeping can begin:

  1. Validate Account Inventory: Review the list of business accounts/platform tools gathered during the sales process, including:
    • Revenue sources (Point of Sales or Invoicing systems, Merchant Service Providers).
    • Payroll provider.
    • Bank accounts.
    • Credit cards.
    • Loans and/or amortization schedules.
  2. Access Setup: Provide login credentials for each account (preferred), or confirm if documents will be submitted manually (least preferred).
  3. Recurring Document Submission: Agree on the method and timeline for providing monthly documents and data.
  4. Catch-Up/Clean-Up (if applicable): Provide access to all historic statements, payroll reports, or other records needed to bring books current.
  5. Insight Client Portal: Complete a walkthrough with BKE to understand how to:
    • Upload required documents.
    • Provide logins securely.
    • Communicate with the bookkeeping team.
    • Book appointments with your team.

🛠️ 3. BKE Responsibilities

  1. Create the client profile in Insight and invite the client to begin their setup
    • Add all client information (entity name, client contact info).
    • Set up tasks for the client to establish all business logins and credentials needed for the BKE team.
    • Configure required document folders.
    • Define internal workflow steps for recurring work.
  2. Establish recurring processes
    • Confirm document collection method (preferred: automated via direct login by BKE; fallback: manual upload).
    • Define schedule for monthly document gathering (e.g., 5th of each month).
  3. Validate system access
    • Test all logins (bank, credit card, payroll, POS, etc.).
    • Confirm integrations or confirm secure manual processes if integrations are unavailable.

✅ 4. Onboarding Completed: Pass to BKE Senior Accountant for First Month Deliverables to include

  • Process catch-up/clean-up work as needed.
  • Complete the first month of regular bookkeeping using agreed processes.
  • Deliver first financial package for client review.
  • Validate workflow timing and accuracy for ongoing work.
