Setting Up BKE Access to Bank and Credit Card Accounts
To provide accurate and timely bookkeeping, BKE requires access to client bank and credit card accounts. There are two primary ways clients can grant access:
🔐 1. Direct Online Access
Clients provide BKE with login credentials to access accounts directly. This allows BKE to retrieve statements and transaction data without repeatedly contacting the client. With online access, there are two options for setup:
Option A: BKE Owns Its Own Login with Statement Delivery (Preferred)
- Client creates a unique BKE login with rights to retrieve statements and check images as well as keep bank feeds operating.
Advantages:
- BKE receives all statements directly.
- No need to contact the client each month.
- Streamlined, consistent, and efficient.
Option B: BKE Login Requiring Client Code (Less Preferred)
- Client provides BKE a login.
- Statements are still delivered to the client’s email/SMS.
- Each time BKE logs in, a verification code must be obtained from the client.
Disadvantages:
- Creates delays in monthly work.
- Requires ongoing client involvement.
📄 2. Client-Provided Documents (Least Efficient)
Clients manually upload statements/reports via Insight.
- No login credentials are shared or available to BKE.
- Cons: Slows down bookkeeping, requires client follow-ups, and increases the risk of missing or delayed information.
🛡️ 3. Client Control and Security
- Clients can revoke or remove BKE’s access at any time.
- The client always remains the primary account holder.
- BKE strongly encourages creating dedicated logins for BKE rather than sharing personal credentials, ensuring better security and easier management.
🤝 4. Questions & Support
Each bank and credit card company may handle logins and statement access a little differently.
- During Onboarding: Please reach out to your Onboarding Representative if you have any questions or need help setting us up with access.
- After Bookkeeping Has Begun: Your Client Document Manager is your main point of contact for any ongoing account access questions or issues.
✅ Best Practice: Provide BKE with a dedicated login that receives statements directly. This ensures efficient bookkeeping with minimal client involvement.
