Setting Up BKE Access to Revenue & Payroll Systems
💵 Setting Up BKE Access to Revenue Systems
To ensure accurate reporting and reconciliation, BKE requires access to your revenue systems (e.g., POS systems, e-commerce platforms, practice management tools).
1. Direct Online Access (Preferred)
Clients provide BKE with login credentials to their revenue system. This allows BKE to download reports and verify revenue activity directly.
Option A: BKE Login with Report Access (Preferred)
- Client creates a dedicated BKE login with access to financial reports.
Advantages:
- BKE receives data directly.
- No need for repeated client involvement.
- Ensures timely and consistent reporting.
Option B: Shared Login or Limited Access (Less Preferred)
- Client shares a general login or provides access where certain verifications/codes are required.
Disadvantages:
- Slows down BKE’s ability to reconcile revenue.
- Creates dependencies on client responses.
2. Client-Provided Reports (Least Efficient)
Clients manually send in revenue reports (daily/weekly/monthly).
- Advantage: No login credentials are available or shared.
- Cons: Slows down bookkeeping, requires client follow-ups, and risks missing or inconsistent reporting.
3. Client Control and Security
- Clients can revoke BKE’s access at any time.
- BKE recommends dedicated logins for security and easier management.
4. Questions & Support
- During Onboarding: Contact your Onboarding Representative for assistance setting up access.
- After Bookkeeping Has Begun: Reach out to your Document Manager for ongoing support.
🧾 Setting Up BKE Access to Payroll Systems
To properly record payroll expenses, liabilities, and tax payments, BKE requires access to your payroll system (e.g., Gusto, ADP, Paychex, QuickBooks Payroll).
1. Direct Online Access (Preferred)
Clients provide BKE with login credentials to their payroll provider. This enables BKE to download historical payroll reports, integrate to the general ledger if available, and reconcile payroll transactions.
Option A: BKE Login with Report Access (Preferred)
- Client creates a BKE login with reporting access (but no ability to process payroll).
Advantages:
- BKE can independently pull reports each pay cycle (including any off-cycle reports).
- Streamlines reconciliations and tax tracking.
Option B: Shared Login or Code-Based Access (Less Preferred)
- Client provides access where BKE must request codes or depend on the client to forward reports.
Disadvantages:
- Creates delays.
- Less secure than dedicated logins.
2. Client-Provided Reports (Least Preferred)
Clients manually send in payroll reports each pay cycle.
- Pros: No login credentials are shared.
- Cons: Requires constant client follow-up, increases delays, and risks missing payroll entries.
3. Client Control and Security
- Clients can remove BKE’s login at any time.
- For security, BKE requests report-only access wherever possible.
4. Questions & Support
- During Onboarding: Work with your Onboarding Representative to set up access.
- After Bookkeeping Has Begun: Contact your Client Document Manager for ongoing payroll access or report issues.
