We’re excited to have you onboard! Our goal in these first months is to build a routine together, communicate often, and make sure your books flow smoothly. Once those patterns are set, everything becomes consistent, efficient, and stress-free.

This guide walks you through what to expect from onboarding through your first three months.


1. Onboarding — What BKE Does

  • Set up your profile in BKE Insight, your all-in-one bookkeeping portal.
  • Activate your new QuickBooks file (if applicable).
  • Validate all logins to necessary bank, credit card, payroll, and revenue systems.
  • Gather any historical data if catch-up or clean-up is needed.

What We Need From You

  • Set up your BKE team with the necessary logins and documents within the BKE Insight portal.
    • Note: If you have questions on how to do this, please book time with your BKE Onboarding Representative via their Calendly (located in the Your Team button in the upper right corner of BKE Insight). We’ll gladly walk you through this step if needed.
  • Complete your Insight walkthrough and watch the Insight Training Video so you’re comfortable using the system.

2. Month One — Getting Started

What BKE Does

  • Begin processing your books and, when ready, deliver your first financial package.
  • Introduce you to your Senior Accountant (your accounting lead) and your Document Manager (your access & documents support).
  • Schedule your first review call — sometimes before the first reports are ready. If that’s the case, we’ll use the call to walk through expectations, communication flow, and what’s coming next.
  • Respond to all Insight messages within one business day.

What You Do

  • Use Insight as your first point of contact — it’s the fastest, most reliable way to reach your team.
  • Clear obstructions quickly (like 2FA codes, missing logins, or waiting documents). These block your books until resolved.
  • Reply to Ask Client items (questions about unclear transactions).
  • Attend your scheduled Month One call.
  • Review your reports in Insight when available.

3. Month Two — Building the Rhythm

What BKE Does

  • Deliver your second set of financial reports.
  • Apply patterns and vendor preferences so fewer items land in Ask Client.
  • Continue nightly obstruction emails if something blocks your books.
  • Schedule your second review call to check progress, answer questions, and keep us aligned.

What You Do

  • Log into Insight weekly to stay current on communications and requests.
  • Clear obstructions promptly to keep your books moving.
  • To keep us in sync, review the transaction categorization spreadsheet for your first three months. You don’t need the perfect category for every item, but if something looks unusual, please flag it. Your Senior Accountant will review and adjust as needed.
  • Provide new account details immediately if you open or close accounts.
  • Attend your scheduled Month Two call.

4. Month Three — Settling Into the Pattern

What BKE Does

  • Deliver accurate monthly financials (P&L, Balance Sheet, Cash Flow).
  • Track recurring transactions and vendor categorization.
  • Provide continued support through Insight messages and scheduled calls as needed.

What You Do

  • Keep Insight as your main channel of communication with BKE.
  • Respond quickly to any open items.
  • Use your reports to guide decisions: spot trends, track cash flow, and note action items.
