A quick guide to the people supporting your books—defining their role, how we work together, and when to reach out.
🧭 At-a-Glance
- Senior Accountant → Your main point of contact. Owns the accuracy of your books, monthly close, and technical accounting.
- Document Manager → Your documents, credentials support rep.
- Billing Team → Manages collections and billings of your account with BKE.
- Onboarding Representative → Assist with your initial account set up within our communication portal, Insight along with verifying our team's credentials/logins necessary to do your bookkeeping.
👥 Your Team
📈 Senior Accountant
Purpose
Ensures your Financial Reports are complete and accurate.
What they do
- Perform monthly reconciliations (bank/credit card/loan), adjusting entries, and review variances.
- Maintain the chart of accounts and accounting policies.
- Prepare monthly financial statements.
- Advise on complex items (payroll entries, asset capitalization, revenue recognition, sales tax edge cases).
When to contact
- You have a technical accounting question or a change in transaction treatment.
- You’re reviewing the monthly close and something doesn’t look right.
Typical deliverables
- Monthly Profit & Loss Statement, Balance Sheet, Cash Flow and close checklist.
- Review notes and action items.
📂 Client Document Manager
Purpose
Manage document collection and credentials for the client.
What they do
- Gather all documents/data and make it available to our bookkeepers via our internal filing system.
- Manage the logins you provide to us.
- Route questions to the right specialist (Senior Accountant, Billing, Onboarding).
When to contact
- If you hear from us and we need a secondary security code or you need to update a login.
- If you have difficulty sending in a document that you provide monthly.
- If you are having difficulty solving any obstructions on your BKE Insight page.
🧾 Billing Team
Purpose
Make sure billing is clear, timely, and accurate.
What they do
- Manage payment methods/subscriptions.
- Handle credits, refunds, and scope-related pricing updates.
When to contact
- If you have questions about a payment to BKE or need to update billing details.
🚀 Onboarding Representative
Purpose
Get you from kickoff to a clean, connected, and documented bookkeeping environment.
What they do
- Help set up Clients within BKE Insight as well as activate new QuickBooks files if needed.
- Collect historical data needed for any historical work to be done.
- Establish document workflows, integrations and bank feeds to your books.
- Verify and test all credentials/logins provided work properly for our team then hand off your account to your new Client Document Manager + Senior Accountant.
When to contact
- During setup to provide information, data migration, or if anything blocks connections/access.
- To review onboarding timelines and readiness for handoff.
🔄 How We Work Together (Workflow)
- Onboard — Onboarding Representative configures/creates tools, gathers data, and initiates documents processes.
- Operate — Client Document Manager manages documents and other nonaccounting questions; Your Senior Accountant runs the monthly review and close.
- Bill — Billing Team issues invoices, initiates collections, and manages account changes.
- Review & Improve — Senior Accountant provides your reports and insight on your financials.
💬 Communication & Response Times
- Primary channel: Send us a message using your BKE Insight page.
- Typical responses: Within 1 business day for most requests; complex accounting questions may take 2–3 business days depending on documentation.
- Meetings: Scheduled as needed for onboarding, document collection support, monthly reviews, or project work.
Need urgent help? Flag your Senior Accountant and indicate the deadline; they’ll coordinate the fastest path to resolution.

For billing questions, send us a message in BKE Insight and it will be assigned to the Billing Team.
For access/tool problems during setup, contact your Onboarding Representative via a message in BKE Insight, a phone call, or schedule a Calendly meeting.
